Keep a uniform record that survives the next order.

“Same as last time” is much easier to act on when the garment and artwork decisions are written down.

By ANCO Apparel & Uniforms · Published · Updated

Short answer: Keep one approved uniform specification with exact garment references, artwork versions, print dimensions and locations. For each reorder, confirm current availability, fit choices and quantities. Record any proposed substitution and obtain approval before treating it as the same uniform.

Save a master row for each garment and print location. Keep size and quantity rows separate, and record each approval version. The file is blank and can be opened in a spreadsheet.

No form or email required.

Use one specification ID for rows that belong to the same approved setup. If a shirt has front and back prints, give each location its own row but do not add those rows together as extra garments. Count order quantities once per garment and size. Keep pending changes outside the approved version.

Keep the record somewhere the next coordinator can access. An old photo is useful context but may not reveal the original style, print dimensions or exact artwork file. Avoid using a screenshot of a previous proof as the only production artwork.

Give new staff a current fit decision

Ask a new starter to choose from the actual style chart. Do not assign the previous employee's size or transfer a size label from another brand. The BELLA+CANVAS 3001 chart is one manufacturer example of style-specific measurements; use the chart for the uniform actually proposed.

The Independent manufacturer index likewise separates garment constructions into distinct styles. A substitute with a similar name still needs its own sizing and placement check. Neither source confirms current ANCO stock.

  • Confirm the new staff member's role and ordinary layer requirements.
  • Provide the exact garment and chart reference.
  • Record the wearer's selected size and quantity.
  • Keep role changes or special requirements visible for review.
  • Send the reorder as a new dated request, linked to the approved specification.

Illustrative example: the approved colour needs a replacement

A new starter's order triggers a controlled change

Illustrative example · Not a documented customer order

A new staff member selects a size using the approved style chart. The coordinator requests the existing colour, but availability is not confirmed. They ask for alternatives rather than change the row to a similar-looking product.

For the proposed replacement, the coordinator checks the new chart, garment construction and artwork contrast. The authorized owner decides whether the visual difference is acceptable. The accepted choice becomes a new specification version; the record does not claim an exact colour or dye-lot match.

Preserve the artwork that can still be edited

Keep an editable original and a clearly named approved delivery copy. Adobe's outline-text guidance explains that converted text becomes paths, which removes ordinary text editing. A future name or wording change is easier when the editable master still exists.

For uniform reorders through ANCO, send the current request with the prior reference and identify every intended change. Garment availability, quote scope and timing need confirmation for the new order.

Return to work-uniform planning when roles or laundry routines change. For staff wearing aprons, repeat the hospitality placement check after a garment substitution.

Sources and scope

Manufacturer examples explain specific products and do not confirm ANCO stock, equipment or suppliers. ANCO reviews the proposed garment, artwork and order before confirming suitability.

A few practical answers.

These answers are a starting point. Your garment, artwork and order details determine the final conversation.

Can we assume the same garment will always be available?

No. Keep its exact reference, but confirm availability for each order and approve any substitute explicitly.

Will a reorder look exactly like the original batch?

Do not assume an exact colour or dye-lot match. Supply the approved record, explain what consistency matters and ask about the proposed garment and decoration before approval.
