Short answer: Collect each person's preferred wording and garment choice, then plan around when and how the apparel will be worn. Use the date shirts must be in hand, including travel or earlier activities. Have one coordinator approve the exact names, roles, dates and garment assignments on the final proof.

Choose the garment for the activity
| Use | Ask the group | Record |
|---|---|---|
| Getting ready | How will the layer be put on or removed during preparations? | Preferred garment type and closure, if relevant |
| Travel or earlier gathering | When does each person actually need the apparel? | In-hand requirement before departure or the activity |
| Group photographs | Which wording and appearance does the group want? | Approved design direction and garment colours |
| Later casual wear | Do people prefer occasion-specific or simpler wording? | The wording decision before artwork approval |
Ask rather than infer preferences from someone's role in the wedding. A shared design can use inclusive or neutral wording if that is what the group chooses. Do not assign names, titles or garment fits from assumptions.
Use a name-and-role approval checklist
- Collect the exact preferred name, including accents, spacing and capitalization.
- Confirm any role wording with the person who will wear it.
- Verify the event date and whether that date belongs on the garment at all.
- Attach each text variant to the correct style, colour and size row.
- Have the coordinator compare the final proof against the confirmed list.
- If anything changes, request and approve the revised version explicitly.
Keep editable artwork as well as the delivery copy. Adobe's outline-text guidance explains that text converted to paths is no longer ordinary editable text. A correct master makes a late spelling revision easier to manage, but feasibility after approval still needs confirmation.
Illustrative example: the useful date is before departure
A wedding party approves neutral wording and a travel deadline
Illustrative example · Not a documented customer order
A group chooses a shared celebration phrase and asks each person to confirm their preferred name. Rather than assign traditional role titles, the coordinator records the wording the group actually wants.
The party leaves Calgary before the ceremony, so the quote request states the date apparel must be in hand before departure. The ceremony date is included as context, not used as the only deadline. The coordinator asks ANCO to confirm feasibility before relying on the plan.
Let each wearer choose fit from the actual chart
Use the proposed style's own size chart. A manufacturer measurement example shows how garment measurements relate to a specific style; it cannot choose a person's preferred fit or confirm ANCO availability. Keep unresolved choices pending rather than estimating from a photograph or clothing role.
Send garment choices, the wording list, artwork and the requested in-hand date to ANCO's event apparel service. Ask about every requested personalization and location so the quote scope is clear.
For a larger mixed-age celebration, use the household collection method. Use the event-order checklist to connect the required in-hand date to approvals and the handout plan.
Sources and scope
Manufacturer examples explain specific products and do not confirm ANCO stock, equipment or suppliers. ANCO reviews the proposed garment, artwork and order before confirming suitability.
