Short answer: Choose one coordinator, collect confirmed garment choices through household contacts and keep adult and child styles separate. Verify the occasion wording and year, review artwork on the smallest selected garment, and reconcile household totals before requesting a quote. Do not infer sizes from age or family role.

Give each household the same fields
| Field | What to collect | Why |
|---|---|---|
| Household reference | A simple identifier and one contact | Resolve questions without duplicate replies |
| Garment | Exact style, colour and adult/youth or other fit range | Keep different garments separate |
| Size and quantity | Confirmed choice using the correct chart | Avoid translating age into a size |
| Artwork variant | Shared design or a labelled individual version | Match the right design to each row |
| Status | Confirmed or pending | Prevent missing answers from becoming guesses |
Use wearer codes if individual names are unnecessary for the order. The coordinator needs enough information to reconcile choices and distribute garments, not a detailed family profile.
Check child and adult garments independently
Size labels are not interchangeable across fit ranges. The BELLA+CANVAS 3001 specification is an example of a chart tied to an exact style. Use each proposed garment's current chart and have the wearer or guardian confirm the choice. The example is not an ANCO availability list.
- Keep youth and adult sizes in separate rows even when the letters match.
- Check whether the desired style and colour options are actually available.
- Review artwork dimensions on the smallest garment before approving a shared size.
- If a smaller artwork version is proposed, check its text and fine detail separately.
- Label each approved artwork variant and its garment assignments.
The STAHLS artwork specification illustrates why fine detail and edges need review at the intended size. Its product-specific thresholds do not establish a universal ANCO minimum.
Illustrative example: five households, 28 wearers
Reconcile people, then garment rows
Illustrative example · Not a documented customer order
Five households confirm 6, 5, 7, 4 and 6 wearers respectively. The coordinator checks that 6 + 5 + 7 + 4 + 6 = 28 and then reconciles the actual garment rows to 28 pieces, assuming one shirt per confirmed wearer in this example.
The youth rows stay separate from adult rows. One household has not yet chosen a child's size, so that row remains pending even though the wearer is counted. The coordinator does not choose a size from age. The youth artwork proposal is also reviewed separately before approval.
Approve the occasion wording and handout plan
- Confirm the family or celebration wording, year and any individual names.
- Have household contacts resolve pending garment choices.
- Name one person authorized to approve the final proof version.
- State when shirts need to be in hand, including travel or an earlier gathering.
- Plan sorting by household and keep any deliberately approved extras separate.
Bring the reconciled record to ANCO's event and team shirt service. Use the event-order checklist to track approvals and distribution. The wedding party wording checklist is useful when individual names and preferred role wording need closer review.
Sources and scope
Manufacturer examples explain specific products and do not confirm ANCO stock, equipment or suppliers. ANCO reviews the proposed garment, artwork and order before confirming suitability.
